ASO and Community Organization Guidelines

The Scotiabank AIDS Walk for Life Toronto invites you to apply for exhibit space at the Community Fair. The event will be held on Church Street between Carlton and Alexander Streets on Sunday, September 25, 2011.  Please take note of the following information:

  1. The check-in desk will be open at 8:00 a.m. and exhibitors should be set up by 11:00 a.m, with an expectation to stay until 6:00 p.m.
  2. There are a limited number of spots available for the Community Fair. The Community Fair reserves the right to limit the number of exhibitors and the right to final decision regarding entry into the show.
  3. Please return your applications before Friday, September 9, 2011.
  4. A holding fee of $50 will need to be pre-paid to ACT on reserving your booth, this amount will be returned/refunded when you drop off your table and chairs at the end of the Walk day (6:00pm).
  5. Sale of food, beverage, or merchandise is not permitted in the Community Fair (unless approved by ACT). All pamphlets and brochures to be distributed must be submitted for approval by ACT.
  6. Vendors are responsible for their own individual expenses incurred in the setting up and operation of their booth, including their own liability insurance.
  7. Tents will not be provided, however they are recommended. Please indicate on your application if you wish to rent a tent.  Tents can be rented for an additional cost of $150.
  8. Community Fair grounds must be kept clean at all times. Please ensure that your pamphlets and brochures are held down securely.
  9. At the conclusion of the event you will be responsible for disposing of your own garbage in waste receptacles and returning your table and chairs to the staging area.
  10. Limited motorized vehicles will be allowed in the Community Fair and will be subject to approval prior to the event.  Please advise if you wish to have a motorized vehicle as part of your booth.
  11. Event date is rain or shine.
  12. The Scotiabank AIDS Walk for Life Toronto and the AIDS Committee of Toronto are not responsible for lost or damaged articles or displays, under any circumstances.
  13. Consumption of alcohol and smoking are not permitted within your booth site.
